The Office Manager at Arcsine


RESPONSIBILITIES & JOB DESCRIPTION

A successful Office Manager at Arcsine plays a central role in supporting the day-to-day operations of our collaborative architecture and interior design studio by helping ensure that both creative work and office systems function seamlessly. This position supports the Partners, Business Manager, firm leaders, and designers by managing daily office needs whilst also serving as an integral partner in maintaining the studio environment, including stewardship of the materials library.

In addition, the Office Manager supports the firm’s external presence by assisting with marketing and communications efforts, such as PR coordination, newsletters, and website updates.

The ideal candidate is highly organized, proactive, and comfortable working in a design-forward, team-oriented studio where attention to detail, adaptability, and collaboration are highly valued.  They must exhibit personal responsibility and accountability and embrace open communication.

 

Office Operations & Administration

  • Manage day-to-day office operations to support a smooth, organized, and welcoming studio environment

  • Oversee office supplies, equipment, vendors, phones, and general inquiries

  • Coordinate calendars, meetings, and scheduling support as needed

  • Work with the Business Manager to maintain basic office systems, records, and shared documentation

  • Coordinate with IT support, building management, and service providers

  • Coordinate shipments and receive deliveries of packages.

 

Studio & Team Support

  • Provide administrative and coordination support to principals, designers, and project teams

  • Assist with onboarding staff and maintaining a positive, collaborative studio culture

  • Support clear internal communication and day-to-day studio needs

 

Materials Library & Design Resources

  • Maintain and organize the firm’s materials library; sample management and organization

  • Coordinate with vendors and manufacturers to source and track material samples

 

Marketing, PR & Communications Support

  • Assist with marketing and communications efforts, including newsletters and firm updates

  • Support PR coordination and help gather project information and imagery

  • Assist with website updates and maintenance of marketing assets and contact lists

 

General Administrative Support

  • Assist with basic bookkeeping, invoicing support, expense tracking, and vendor invoices (as applicable)

  • Support leadership with administrative tasks and special projects

 

Opportunities for Growth

  • Increased responsibility in office operations and studio systems

  • Increased involvement with design teams and participation in project/design deliverables

  • Expanded role in materials library curation and vendor relationships

  • Greater involvement in marketing, PR, and communications strategy

  • Potential growth into a more senior office or studio management role



 

ADDITIONAL QUALIFICATIONS:

  • Typically have 2+ years of experience in similar role

  • Collegiate Degree or related training certificates

  • Demonstrated software proficiency including MS Office Suite, Adobe Creative Suite, Framer, and various social media platforms

  • Self-starter with ability to work independently and effectively meet deadlines

This is a part-time position of 32 hours/week, and candidates are expected to be in-office at our Oakland office 4-5 days per week. A successful Office Manager needs to be able to perform computer tasks, attend and participate in meetings in the office, with occasional out-of-office activity.  This job includes library and storage management which includes physical ability to lift materials and dead-file project material to the on-site basement storage.  Evaluating these conditions would also be expected and include uneven surfaces for walking, obstacles to navigate around, and lifting/carting supplies.
